The Intake Problem Unique to Naturopathic Practice
Naturopathic and integrative medicine has an intake burden that conventional primary care does not.
A first visit routinely requires detailed history across diet, sleep, stress, digestion, energy, menstrual and hormonal patterns, environmental exposures, family history, prior treatments, current medications and supplements, and lifestyle factors. Gathering that thoroughly takes 45 to 90 minutes.
When that collection happens during the appointment, a significant portion of billable clinical time is spent on data entry that the patient could have completed at home. The Regulatory Frame
Naturopathic doctors in Ontario are regulated health professionals and are health information custodians under PHIPA. That has direct design consequences.
Personal health information includes intake responses, clinical notes, lab results, and treatment records. Under PHIPA, custodians handling personal health information electronically must maintain an electronic audit log recording who accessed a record, when, what was accessed, and whether it was modified. Where an electronic service provider maintains that log, the provider is subject to PHIPA safeguard obligations and cannot use or disclose the information.
Express consent is required for marketing and fundraising communication to patients, and CASL applies to commercial electronic messages. A protocol adherence check-in tied to active care and a promotional email about a dispensary sale are different categories requiring different consent handling.
Advertising is governed by the College of Naturopaths of Ontario's standards, which restrict certain claims and testimonials. Any content in automated sequences should be reviewed against those standards.

Workflow 1: Comprehensive pre-visit intake
What happens now: Intake forms are emailed as PDFs, completed inconsistently, or filled in at the clinic before the appointment.

Workflow 2: Protocol delivery and adherence follow-up
What happens now: The protocol is explained verbally and written on a handout. What happens next is unknown until the follow-up.
What automation changes:
- The treatment protocol is delivered to the patient in writing after the visit, in a structured format they can actually follow.
- Supplement regimens include timing, dosage, and duration clearly stated.
- Check-in messages run at intervals appropriate to the protocol - often at one week, three weeks, and ahead of the follow-up appointment.
- Check-ins ask brief, structured questions about adherence and symptom change rather than open-ended "how are you doing."
- Responses indicating a problem - an adverse reaction, a symptom worsening, an inability to follow the protocol - route immediately to the practitioner rather than into a general inbox.
- Patients reporting difficulty with a protocol are flagged for a conversation before the follow-up, when there is still time to adjust.
- Follow-up appointments are booked at the point the protocol is issued rather than left to the patient to arrange.
- Structured adherence and symptom data is available to the practitioner at the follow-up visit.

Workflow 3: Dispensary and reorder management
What happens now: Patients buy supplements at the clinic and reorder when they remember, if they remember.

What Should Stay Human
Keep human: all clinical assessment and diagnosis, protocol design and modification, interpretation and discussion of lab results, decisions about referral to other providers, conversations about symptom changes or adverse reactions, and any discussion of a patient's specific health situation.
Automate: intake delivery and reminders, protocol document delivery, structured check-in scheduling, escalation routing, reorder prompts, appointment reminders, result availability notification, and consented retention sequences.
The clearest line: automation collects information and delivers what the practitioner decided. It never interprets, never advises, and never tells a patient what their symptoms mean.
